FAXTDROP NAIJA LIMITED (RC 1887524), trading as Faxtdrop

1. Who handles your information

FAXTDROP NAIJA LIMITED (RC 1887524), trading as Faxtdrop is responsible for the account, shipment, support and referral information it controls. Contact support@faxtdrop.com, +234 903 289 5007 or our contact office at Room 114, NACHO Aviance Complex, MMIA, Lagos for privacy requests. This notice explains our website and service processing; carriers and banks may also act as independent controllers for their own lawful activities.

2. Information and sources

We receive names, email addresses, telephone numbers, account type, authentication and security records, terms acceptance records, sender and recipient addresses, parcel descriptions, shipment references, invoices, payment confirmation information, support messages and referral records. Relevant information comes from you, the person arranging a shipment for you, an authorised referral partner, carriers and payment or banking records. Payout account details may be requested from partners for paying rewards; never post passwords or verification codes in Support. We do not ask partners to collect customer account credentials.

3. Purposes and lawful bases

We use necessary information to take steps you request before a contract, manage accounts, arrange and perform shipments, issue invoices, confirm payment, handle claims and administer referral rewards. We also process information to meet applicable legal obligations and, where lawful and proportionate after considering your interests, protect security, prevent fraud and maintain operational records. Where consent is the required basis, it must be specific and can be withdrawn without affecting earlier lawful processing. Accepting shipment terms is not blanket consent to marketing, profiling or selling personal information. We do not currently use this notice as consent to unrelated marketing.

4. Sharing and overseas processing

Necessary details may be shared with the selected carrier, delivery and handling providers, customs or other competent authorities, banks, professional advisers and service providers operating the website and email. Namecheap provides hosting and Resend provides transactional email. International delivery, hosting and email processing may involve countries outside Nigeria. We must apply a lawful transfer basis and appropriate safeguards required by the Nigeria Data Protection Act, rather than treating use of the website as an unlimited transfer consent. Public tracking shows limited shipment milestones rather than recipient contact information or internal notes. Protect tracking references and share them only as needed.

5. Security and cookies

We use access controls and reasonable technical and organisational measures to protect information. No website or email service is immune to every attack. Essential session cookies support sign-in and account security. Optional analytics, advertising or other non-essential tracking would require its own appropriate notice and lawful basis before use. A transactional email is not a private encrypted document vault; use your signed-in account for sensitive shipment discussions and do not share codes. We investigate incidents and make notifications required by law.

6. Retention

We retain records only for the purposes for which they are needed, applicable accounting, regulatory and legal requirements, fraud prevention and genuine claims. Retention depends on the record type and outstanding obligations; account closure does not automatically erase a completed shipment invoice or legal claim record. When information is no longer needed, it must be securely deleted, anonymised or otherwise handled lawfully, including in backups according to their retention cycle. Ask us about the retention applicable to a particular record.

7. Your rights and complaints

Subject to the law and appropriate identity checks, you may request information about processing, access to your data, correction, erasure, restriction, portability where applicable, and objection to processing based on the relevant lawful ground. You may withdraw consent where processing relies on it and raise concerns about a significant solely automated decision. These rights have statutory conditions and exceptions; we will explain the outcome and respond within the applicable legal timeframe. You may complain directly to the Nigeria Data Protection Commission at ndpc.gov.ng without first waiving a claim or accepting a private dispute procedure. Providing information needed for a shipment may be necessary to perform it; we will explain if missing information prevents the requested service.

8. Other peoples details and updates

Only supply sender, recipient or prospect information where you have authority or another appropriate lawful basis, and make this notice available to them. Services and accounts are intended for adults; do not create an account for a child. Necessary recipient information for a lawful family shipment must still be handled appropriately. We will publish material updates with a new date and give additional notice where needed; an update does not retrospectively authorise a new incompatible use of existing information.
